Full time, M-F, 8 am – 5 pm

 

Role Description

Our team is growing! Want to be part of a small business? The Administrative Assistant plays a key role in supporting the daily operations of Nicole Kupchik Consulting. The successful candidate for this role possesses excellent problem-solving and customer service skills and is a proactive, solutions-oriented self-starter who thrives in a fast-paced, rapidly evolving environment.

 

Key Responsibilities:

  • Administrative Support: Handle incoming and outgoing emails, responding to inquiries and messages in a timely and professional manner and managing team calendar.
  • Order Processing: Daily processing of book and course orders, managing customer invoicing, tracking shipments, and dropping off orders to the post office multiple times a day.
  • Report Preparation: Summarize educational evaluations on a quarterly basis or as needed.
  • Inventory & Office Supplies Management: Maintain accurate and up-to-date book inventory before each sale and after each book restock. Monitor and order shipping supplies & flyers to ensure smooth operations.
  • Event Planning: Organize team events such as FY strategy meetings & morale events, including logistics, space management and catering.
  • Learning Platform: Coordinate launch and maintenance of Zoom webinar & meetings, day of event support, coordinate continuing education certificates & delivery.

Required:

  • Driver’s license, proof of car insurance and reliable access to a car
  • Reliable – if you say you are going to do it, it gets done
  • Thorough understanding of providing top-notch customer service
  • Able to perform independently without prompting
  • Excellent communication skills
  • High school diploma or equivalent (Associate’s degree or administrative certification is a plus)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational skills with the ability to multitask and prioritize
  • Occasional travel (2-3 times a year)
  • Willing to have fun!

40 hours a week, $22-28 per hour
