Job Description

Position Overview

We are seeking a detail-oriented Administrative Assistant (Support Assistant) to provide critical administrative and operational support for key systems and workflows. This role plays an essential part in ensuring accuracy, efficiency, and continuous improvement across business processes.

The ideal candidate is highly organized, communicates effectively, and thrives in a fast-paced, collaborative environment while maintaining a strong focus on quality and execution.

Key Responsibilities

  • Review and process submitted materials for accuracy, completeness, and compliance
  • Organize, maintain, and update documents and records within internal systems
  • Support workflow processes by routing items for approval and tracking progress
  • Manage routine communications, notifications, and status updates
  • Follow up on outstanding tasks to ensure timely completion
  • Monitor and report on operational and performance metrics
  • Gather and prepare data for routine and ad hoc reporting
  • Develop and maintain system documentation, guides, and reference materials
  • Administer user access, roles, and permissions within systems
  • Provide user training, guidance, and ongoing support
  • Perform data searches, retrievals, and historical lookups
  • Troubleshoot workflow or system-related issues and support resolution efforts
  • Coordinate with technical teams to resolve system issues and enhancements
  • Address escalations and ensure timely issue resolution

Required Qualifications

  • High School Diploma or equivalent
  • Proficiency in Microsoft Office Suite, including:
  • SharePoint Online
  • Word, Excel, PowerPoint
  • Microsoft Teams
  • Strong written and verbal communication skills
  • Excellent organizational and multitasking abilities
  • High attention to detail and accuracy
  • Ability to build relationships and collaborate across all levels of an organization

Preferred Qualifications

  • Experience with Power BI, OneNote, or Visio
  • Strong analytical, problem-solving, and decision-making skills
  • Ability to work independently in a fast-paced environment
  • Experience supporting system workflows or administrative processes
